We won't know firm numbers until May 26 - basically, until we know if the hospitality suite will be comped. Assuming we do make that cut-off, The Buffistas owe the hotel at least $1650 plus taxes and fees for the party. I'm a big fan of the cash bar policy for the party, which also cuts down on how much the group as a whole owes. (We could also choose to host, say, soft drinks and food, and let the drinkers fend for themselves.) So now we a) need to know if we'll make the 40 total room-nights in order to let us have the hospitality suite for free, and b) decide how much food we want to order and c) decide how much of the beverages we want to host. b) and c) can be decided now, a) has to wait.
Also, as a note: the group cancellation policy is 72 hours before the event, as opposed to the 24 hour policy as stated on the website (and when you book). Hopefully, no one will have to use that, but just FYI.

Food has been a massive waste in the past. Not to say we shouldn't have any, but we don't consume nearly what we think we will because most of us come to prom not long past dinner.
As I recall, we usually only have food because the hotel requires it.
Also, could a stompy post a link to hotel info in the header? We've actually gotten our shit together, but I know that plenty of times in the past, I've had to search the thread or sheepishly ask for the link one more time. :)
What we have done in the past is set a bar for how much money we need to raise and then collect based on that. Some folks can afford to give a lot, some can give a little.
It sounds like one way or another we are committed to $1650, then there is the possibility of the hospitality suite if we don't hit 40 room nights, and we'll want a few bucks for stocking the hospitality suite with food.
My thinking is that we set a mark of $2000 that we are looking to collect and folks can start sending in money. If we've got the $1650 collected then we'll spend some on food, some on non-boozy drinks, and some on a pre-paid bar until we've spent the $1650. One way or another we need to give the hotel that much money.
If we have 50 people attending, $2000 averages out to $40 per person if folks want to think of it that way.

50 people is merely a number used for an example. We don't have any firm numbers yet.
