Hi, I have booked lodging and bought tickets for two concerts at McMenamin's outdoor amphitheater (at Edgefield, just outside Portland, a place about which I have gone on & on several times, the latest just a few pages back). Since I am in and out of their website anyway, I'm going to make contact with their event coordinator just to find out when is the next year with availability, and what would be involved.

The form requires a time range. I looked in this thread to find dates. I"m going to use late May - early June for this initial event inquiry. The DC F2F 2004 was peak Brood X cicadas, so, late May, early June. Seattle F2F 2009 was also late May. I've not created surveys before, except laborious ones in Word, which, no. If someone would like to create one , please do!

Hi, again!

So, I've seen people in the NYC and northerly parts talk about coming in to see Shir. While it is on the calendar that Shir will be with me on Friday, Saturday, and Sunday in DC... we also could spend some of that time in NYC if that works better to give more people a chance to join... stuff.

I don't actually know the exact question to ask. Maybe -- who can come to NYC to see Shir?

Also, Shir is flying out of Newark on Monday, 5/6... there is a train that goes from DC directly to EWR, but am I being paranoid that I would rather she be closer to EWR on that Monday instead of having a 3+ hour train ride in between her and her flight to Seattle? Like, should I try to arrange for us to be hanging out with people in New York on Sunday, sleep at my sister's nearby that night, then have a much shorter car ride to Newark on Monday?

If so, who's available for NYC on Sunday?

Then, for DC/Baltimore, I know Lisa will be away, but she'll get to see Shir in SF. Who else from DC is planning to hang on, say, Friday/Saturday the 3rd/4th? One visit requested is to the Library of Congress, which, awesome. Then Shir mentioned the DC Punk Archive... I will have to check with my friend Ted on that one; I bet he knows!

I am thrilled to have Shir from the 3rd to the 6th, but I am also not territorial! Chime in at will!!

I'm going to add to Jen's post that I'm also free for dinner in NYC on 5/2.

Seattle and SF localistas: I'll be in Seattle from 5/6-10/6, and in SF from 13/6-20/6 (flying back home on that day). Happy to start group emails on where and when to meet those who'd like to meet, but for that I'll need to know where do you live. So if you're not already there, please either share where do you live here, or add it to the document in my profile.

And last, a disclaimer. Things here are still wari-sh and getting hot and cold in ways I can't predict, so I'm following my flights status and flight companies' decisions. There's a risk that they'll be cancelled. I'll share updates once I have them.

Sorry to log in this hypothetical but if I don't do it now, I'll get busy again & won't get it out there. This is for hypothetical F2F at the end of May, 2025, at McMenamin's Edgefield, just outside Portland, OR, in the town of Troutdale, OR. My first inquiry, at the bottom, netted a result thinking I meant a one-day thing in one of the meeting rooms. The hotel room info, at the top, was forthcoming after clarifying that a block of rooms would need to be reserved, variously, for one, two, three, or more nights. The hotel has private rooms and a men's and women's hostel.

----- I would be able to reserve 6 hotel rooms with a catered event space for the night of the event and the night prior. I’m not able to reserve hostel rooms.

You would need to reserve additional room nights, hostel rooms and any additional rooms online one year prior.

Did you want to move forward and reserve the event space and six rooms for 5/23/25 at this time?

To book an event with Edgefield, we require:

a credit card number upon booking to guarantee the booking. a signed contract within 2 weeks. 50% of the Minimum is due 2 weeks after booking. Menu selection(s) along with event details are due 45 days prior. Final head count is due 7 business days prior. HOTEL ROOMS:

Depending on availability, we can block up to 6 rooms and hold those till 45 days prior to the event.

Majority of our hotel rooms are European style with a shared bathroom down the hall and not in the rooms.

Here at Edgefield, our event spaces work on Hosted Food & Beverage Minimums. Which means that so long as you spend that dollar amount on hosted food and hosted drinks during the event, then you won’t owe anything to rent the space.

I’ve attached our current Catering Menus so you can see our menu selections, including our dessert options. Service Charge is above and beyond the Minimum and is 21%. Beer & Cider prices currently range from $7.25-$8.50/pint. Wine prices currently range from $10.75-$16/glass. You can handpick which beers and wines you want to have available at the bar.

Mt Hood Room:

-can seat up to 24 guests, depending upon how it is set

-3 dining tables of 8

-one conference table for 16

-food and beverage minimum, during the daytime (event must end no later than 4:30pm) - $600 + 21% service charge

-food and beverage minimum, during the evening (event can begin as early as 5:30pm) - $800 + 21% service charge

Barley Room:

-can seat up to 40 guests, depending upon how it is set

-4 dining tables of 10 for 40 guests

-U-shape for 22 guests

-food and beverage minimum, during the daytime (event must end no later than 4:30pm) - $1000 + 21% service charge

My other general thought is that it sounds complicated WRT arrangements, honestly, but I know I have a reduced tolerance for planning en masse as I get older, ha!

Yep, this is my feeling, too. I think we may have moved into an age where large Buffista gatherings only happen with major events — happy ones, like weddings or visits from UnAmericanistas like Shir — or sad ones, like JZ's memorial.
