How about a flat screen monitor? Or a projector. The Somervillains once watched a DVD projected on a wall from laptop.

A projector would be much easier. Hopefully this won't be an issue. With the number of rooms we've purchased and everything else, even if they don't have a TV in the room we should be able to lean on them to comp us one.

Who will take care of this? I was going to call Amy on Monday to find out if we had a TV. Should I still do this? I've never spoken to Amy before (I spoke to someone else about the PA) so I'm not comfortable leaning on her.

Let's check with Java before we do the leaning. I believe Amy is our point person for the event. If she is, then we politely, but firmly request that, as our group has more than met the number of folks needed for our room count, etc. etc, we would like to have a TV in the room. If others aren't comfortable doing this thing I can make this call too.

OK, hello from the Localistas meeting!

We've been through the food and bartender stuff, etc, etc. We still have a few questions (including the TV thing), so we're volunteering FredPete and Hubs to call the hotel on Monday and talk about this.

JavaCat, if you have anything to add or suggest (person to ask for, etc), could you email the Localistas list?

The food we're getting is:

"Fruit and berries plate, serves 75-125 people" "Spanakopita (100 pieces)" "Antipasto platter (includes meats, cheeses, olives, bread)"

That takes us to $875 of food, plus the tax and tip.

We're also asking about a fridge (is there one in the room? Can we get one? Should we just haul in a big cooler instead?) just for the sodas etc we will sneak in for the rest of the weekend when we expect no hotel people to be in our room. (Quick, create a diversion, says Hubs!)

The bar will be a cash bar. Cocktails are $6, $6.50 for premium. Beer is $5.25-5.50, Wine $5.50-$6. I expect some people will be liquoring up in their rooms etc, but remember we do need to spend at least $500 at the bar--this is roughly 80some drinks. I think we can do that. (If we dont' spend $500 we have to pay the difference)

We've also discussed entertaining activites for the weekend. Museums, flea markets and farmer's markets, shopping at Sephora and Lush and Commander Salamander, karaoke, pool, etc....

That's looking pretty good. I've already got prom payments from around 17 people, so that's moving along nicely. I don't think we should have problems with 80 drinks. If a little more than half of us has two drinks each, we'll be good. Somehow I think that will happen. I know I'll be drinking plenty of Ketel One and Tonic.

Yeah, we didn't figure 80 drinks would be a huge problem, but thought we'd mention.

One of the questions we're also asking on Monday is because I talked to a guy today (the actual people we'd deal with are not in, cause it's the weekend) and he was saying what kinds of liquor come with the "cash bar"--we're going to ask if we can also have others, or if that's somehow extra money, or what. I think it was vodka, gin, whiskey, bourbon, and cognac, or something random like that. So if we wanted, say, tequila. Or amaretto.
