I've put together a page each year. For the DC F2F (I think) I put the hotel options and features on a page for our consideration. I'd happily put together a summary sheet of the various locations, hotel info, whatever.
Lord, I don't think our point people have the time or energy to get proposals from more than 2 or 3 hotels.
When I researched KC I called their convention bureau, gave them our specifics, and had ten preliminary proposals within two weeks. I didn't even call them back and start pitting them against one another and the prices were pretty good already.
I'd think, even without a convention bureau, that a good way to go about getting good deals would be to talk to more than one hotel.

I've already got proposals from two, one complete, one awaiting one piece of information. I'm going to start nudging a third (the Ramada) momentarily.
I can't speak for Susan or Aimee, but while it wouldn't occur to me to talk to ten hotels unless the first nine were flatly unsuitable, I certainly wouldn't talk to only one, either.
For Vegas, I plan on sending it to the Vegas Convention people and let them do the footwork.

ND, speaking just from here, I don't really need it, unless I'm missing something. Because SF's costs are not likely to be the same as any other city's costs. So I'm-a gonna go by what the hotels can cut me, and use that as my reality check.
