A preferred date is going to be necessary to get hard numbers; I told them it's traditionally been the third week in May. Is that right?

Yup. Though if someone found a hotel with some fabulous package deal available a couple weeks earlier or later, I'd imagine we could be flexible about that. The middle/end of May/early June can sometimes be hard for traveling: there's lots of competition for hotel rooms in college towns right around graduation, and 'istas with kids of their own (or graduation ceremonies of their own) sometimes have to miss out.

I know Hec and I lost a small handful of wedding guests due to conflicts with mid-May school plays/talent shows/little-kid graduation ceremonies that our parent and teacher friends felt they couldn't miss on pain of immediately expiring of guilt.

But YAcronymofchoiceMV -- I don't in fact know that this has ever been a big factor in the F2Fs.

Debet, I was thinking something along the lines of right before signing a contract with a hotel.

Yes, we'll have a decent guesstimate from the city choice poll to start negotiations with but just a quick (I'm Already Counting Down The Days - I'm Definetly There Barring Some Huge Unforeseen Expense - I'm Trying Super Hard But It's Really Iffy - Can't But Have Fun Without Me, You Jerks) poll couldn't hurt and might save some heartache down the line.
